Managing Your Profile and Security

This guide explains how to update your personal settings and keep your Transpond account secure. Keeping these details up to date helps ensure your campaigns run as expected and your account stays protected.

Accessing your preferences

You can manage your personal settings at any time from the My Preferences area.

To access your preferences:

  1. Click your profile image in the top right corner of Transpond
  2. Select My Preferences

Setting your language, time zone and date format

These settings help ensure Transpond displays information correctly and schedules campaigns at the right time.

Changing the language

Transpond is available in English, Finnish, French, German, Portuguese and Spanish. Language is set per user, which is useful for teams working in different regions.

To change the language:

  1. Click your profile image in the top menu bar > My Preferences
  2. Select your preferred language
  3. Click Save your settings

Changing the time zone

Your time zone affects when campaigns and automations are sent. Setting this correctly helps avoid emails going out at the wrong time.

To change the time zone:

  1. Click your profile image in the top menu bar > My Preferences
  2. Select your local time zone from the drop-down list
  3. Click Save your settings

Changing the date format

You can choose how dates are displayed across your account.

To change the date format:

  1. Click your profile image in the top menu bar > My Preferences
  2. Select your preferred date format
  3. Click Save your settings

Managing your password

Using a strong, unique password helps protect your account from unauthorised access.

Updating your password

If you’re logged in and want to change your password:

  1. Click your profile image in the top menu bar > My Preferences
  2. In the Your Password section, enter your new password and confirm it
  3. Click Update your password

Resetting your password

If you can’t log in, you can reset your password using your email address:

  1. Go to the Transpond login page
  2. Click Forgotten password
  3. Enter your account email address
  4. Click Reset my password
  5. Follow the link sent to your email to set a new password

Two-Factor Authentication (2FA)

Two-Factor Authentication adds an extra layer of security by requiring a verification code from your phone when logging in.

This helps protect your account even if your password is compromised.

Enabling Two-Factor Authentication

To turn on 2FA:

  1. Click your profile image in the top menu bar > My Preferences
  2. Under Two Factor Authentication, switch the toggle to ENABLED
  3. Scan the QR code using your authenticator app
  4. Enter the code generated by your app
  5. Click Save

You’ll be given a set of recovery codes. Store these in a safe place (such as a password manager). You can use them if you lose access to your authenticator app.

Once enabled, you’ll be asked to enter a code each time you log in.

Disabling Two-Factor Authentication

To turn off 2FA:

  1. Click your profile image in the top menu bar > My Preferences
  2. In the Two Factor Authentication section, switch the toggle to DISABLED
  3. Enter your 2FA code to confirm

Once disabled, codes from your authenticator app will no longer be required.

Requiring 2FA for all users (admin only)

Admins can require all users on the account to enable 2FA.

To enable this setting:

  1. Go to Account Settings
  2. Open the Staff tab
  3. Toggle Require all users to have 2FA enabled

Once enabled, any user without 2FA will be prompted to set it up when they next log in.
