Create Capsule Contacts from Email Engagement
If you offer a welcome discount or free resource when someone signs up through a form, this Automation helps you identify the contacts who are genuinely interested before adding them to Capsule.
Instead of creating every form signup as a Capsule contact straight away, this workflow waits to see who engages with your emails first. Contacts who click your offer link can then be added to Capsule for follow-up, helping you focus on more engaged leads and keep your CRM cleaner.
This Automation is designed to work with Transpond Group(s) that are not directly linked to Capsule. That way, contacts are added to Capsule only after they’ve shown interest.
What this Automation does:
- When someone submits a Transpond form, an email is sent with a special offer
- Transpond waits for the recipient to click on the link in the email
- If the link is clicked, the contact is added to Capsule, and a task is created in Capsule for your team to follow up.
- If the link is not clicked, Transpond will send a follow-up email reminding the recipient of the offer.
Creating the Automation
- In Transpond, click Automation
- Click Create New Automation
- Select From Scratch
- Choose the trigger: "When a contact signs up from a form"
- You’ll then need to select:
- The form you want to use
- The signup status (we recommend selecting Signup Confirmed so you only automate follow-up for contacts who have confirmed they want to hear from you)
- The contact status
- You’ll then need to select:
- Click the + icon > add a Delay step. You can add a delay of anything from 1 hour to 2 days. Adding a short delay creates a more natural experience and avoids sending emails immediately after form submission.
- Click the + icon > choose Send Email > This email should encourage the contact to take the next step by clicking your offer link. You should include:
- Your discount code or offer
- A clear call-to-action button or link
- Any personalization you’d like to add
- Click the + icon > add a Delay Step, the delay here should be long enough for the contacts to receive and interact with your email. We suggest between 2-7 days.
- Click the + icon > add a Condition Step. This condition separates engaged contacts from those who didn’t interact. Choose:
- Choose Workflow Campaign Activity as the trigger
- Select the email you created in the previous step
- Select Had linked click, and enter the link from your email campaign
- Under the Yes / Thumbs Up path, click the + icon > add a Capsule Action Create Capsule Contact. Use the fields from the form submission to populate the Contact details.
- Click the + icon > add a Capsule Action Create Task. Configure the task details, such as:
- Task name
- Assigned team member
- Due date or follow-up instructions
- Under the No / Thumbs Down path, click the + icon > Send Email. This gives contacts another opportunity to engage. Create a second email that:
- Reminds the contact about the offer
- Includes the same link or discount code
- Uses a slightly different message or call-to-action
- Click the + icon > add a Delay Step, the delay here should be long enough for the contacts to receive and interact with your email. We suggest between 2-7 days.
- You can now repeat step 8 in this article by adding another Condition Step that checks if the link in the second email has been clicked and adds the contact to Capsule along with a Capsule task.
