Onboarding Email for New Capsule Contacts

Create an automated onboarding journey that welcomes new contacts, keeps them engaged, and helps your team identify who may need additional support.

This Automation combines welcome emails, follow-ups, engagement tracking, and Capsule CRM updates to help you build stronger relationships from the start.


What this Automation does:

  1. When a new contact joins your Capsule Group in Transpond, a welcome email is sent.
  2. Follow up with additional information and check whether the contact is engaging with your emails.
  3. Offer a webinar or training session to less engaged contacts
  4. Updates Capsule CRM when a contact shows interest and create follow-up tasks for your team

Creating the Automation


  1. In Transpond, click Automation
  2. Click Create New Automation
  3. Select From Scratch
  4. Choose the trigger: When a contact joins a Group
      • Select the Transpond Group that your Capsule account syncs too
      • Select the Contact Status as Active
  5. Click the + icon > add a Delay step. Adding a short delay helps your welcome email feel more natural and less automated. We suggest between 10 and 30 minutes.
  6. Click the + icon > click the Send Email action. Choose your welcome email template. You can personalize the email using merge tags. Personalized emails can help improve engagement and make your communication feel more relevant.
  7. Click the + icon > add a Delay step. Set the delay to 2 days; this will give contacts time to read and engage with the first email before sending more information.
  8. Click the + icon > click the Send Email action. Choose a template for a follow-up email that contains useful information. This keeps momentum going and helps new contacts get more value from your product or service.
  9. Click the + icon > add a Delay step. Set the delay to 2 days.
  10. Use a Condition Step to identify contacts who may need extra encouragement. For the condition step, choose:
      • Choose Workflow Campaign Activity as the trigger
      • Select the email you created in the previous step
      • Select Was opened
    1. Under the Yes / Thumbs Up path, click the + icon > you can simply let the Automation end here, or you could use a Goal step to add the contacts to a different Automation with an additional onboarding sequence. Or you could add a tag in Capsule to show the contact engaged with the initial onboarding.
    2. Under the No / Thumbs Down path, click the + icon > Send Email. Create an email containing a webinar or booking link. This gives less engaged contacts another opportunity to connect with your business in a more personal way.
      • From here, you could use a Wait step. Select the trigger type as Workflow Campaign Activity. You can then select the Webinar email that was sent and choose 'Had a specific link clicked', including the URL to that link.
      • You can use this step to trigger a custom field to be updated in Capsule, or a task to be added to Capsule to remind the team to follow up with the contacts who are interested in your webinar.
